Endurance Taekwondo Inc. ("Endurance Taekwondo," "we," "us," or "our") respects your privacy and is committed to protecting the personal information of our students, their families, and our website visitors. We handle personal information in accordance with British Columbia's Personal Information Protection Act (PIPA) and, where applicable, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Endurance Taekwondo is responsible for the personal information under our control. We have designated a Privacy Officer who is accountable for our compliance with this policy and with applicable privacy law. "Personal information" means information about an identifiable individual, such as a name, email address, phone number, or a child's enrolment details.

Information We Collect

Depending on how you interact with us, we may collect:

  • Parent/guardian details: name, email address, phone number, and the contents of any message or form you submit.
  • Child/student details: name, age or date of birth, program or belt level, and any emergency-contact, medical, or waiver information you choose to provide for your child's participation and safety.
  • Enrolment and billing details: information needed to register for classes, camps, or programs and to process payments (payment card details are handled by our payment and membership providers, not stored by us directly).
  • Communications: your consent to receive emails and/or SMS messages, and your preferences.
  • Website and analytics data: IP address, browser type, device information, pages visited, and cookie or tracking identifiers (see "Cookies and Tracking Technologies" below).

Why We Collect It (Purposes)

We collect, use, and disclose personal information only for purposes a reasonable person would consider appropriate, including to:

  • respond to enquiries and follow up on lead/contact form submissions;
  • register and enrol students and manage their participation in classes, camps, and programs;
  • schedule classes and send reminders, updates, and service messages;
  • process payments and administer memberships;
  • ensure the safety of children in our programs;
  • send marketing and promotional messages where you have consented;
  • understand and improve our website and services; and
  • detect and prevent fraud or misuse.

Consent

We obtain your consent before we collect, use, or disclose your personal information, except where the law permits or requires otherwise. Consent may be express (for example, submitting a form or checking a box) or implied (for example, where the purpose is obvious and you voluntarily provide the information). Children's Information

Our programs serve children. We knowingly collect personal information about children for the purposes of enrolment, instruction, communication, and safety. Where a child is under the age of 13, we collect that information from, and rely on the consent of, the child's parent or legal guardian. A parent or guardian may access, correct, or withdraw consent for their child's information by contacting our Privacy Officer. We treat children's personal information as sensitive and limit its collection to what is necessary.

Service Providers and Disclosure

We do not sell your personal information. We share personal information only as needed to operate our business and deliver our services, including with trusted service providers who act on our behalf, such as:

  • Membership/enrolment and CRM platforms (for registration, scheduling, billing, and lead management);
  • Google (Google Analytics and Google Ads, for website analytics and advertising measurement — see Cookies below);
  • Email and SMS messaging providers (to send service and marketing communications);
  • Payment processors (to handle transactions securely).

When we transfer personal information to a service provider for processing, that provider is required by contract to protect the information and use it only for the purposes we specify. We remain accountable for personal information transferred to our providers. We may also disclose personal information where required or permitted by law.

Cookies and Tracking Technologies

Our website uses cookies and similar technologies to operate the site, understand how visitors use it, and measure the performance of our advertising.

We use the following third-party services:

Email Marketing

We send commercial email only where you have given us consent or where we have an existing business relationship with you, in accordance with Canada's Anti-Spam Legislation (CASL). Every marketing email identifies Endurance Taekwondo, includes our contact and mailing information, and contains an unsubscribe link. You may unsubscribe at any time, and we will honour your request within 10 business days. We may still send you non-marketing service messages (for example, class information, schedule changes, or billing notices).

SMS Messaging Policy

By submitting your information through our website, you consent to receive SMS messages from Endurance Taekwondo regarding programs, scheduling, reminders, and other relevant updates.

  • Message frequency varies (may include recurring messages).
  • You may opt out at any time by replying STOP.
  • For assistance, reply HELP or contact us directly.
  • Message and data rates may apply.
  • We will not share, sell, or distribute your phone number or personal information to third parties for marketing purposes.

Where Your Information Is Stored

Some of our service providers (including Google and our messaging and membership platforms) may store or process personal information outside of Canada, including in the United States. Where this occurs, the information may be subject to the laws of those countries, including lawful access by their authorities. We remain accountable for your information and require our providers to maintain comparable protections.

How We Protect Your Information

We protect personal information with reasonable administrative, physical, and technological safeguards appropriate to its sensitivity, including restricted access, secure systems, and the use of reputable providers. No method of transmission or storage is completely secure, but we take reasonable steps to protect your information against loss, theft, and unauthorized access, use, or disclosure.

Retention

We retain personal information only as long as necessary to fulfill the purposes for which it was collected, or as required by law. Where we use personal information to make a decision that directly affects an individual, we retain that information for at least one year. When personal information is no longer needed, we securely destroy, erase, or anonymize it.

Your Right to Access and Correct Your Information

You have the right to request access to the personal information we hold about you and to request corrections to any information that is inaccurate or incomplete. To make a request, contact our Privacy Officer in writing (below). We may ask you to verify your identity, and a minimal fee may apply for access requests. We will respond within 30 business days, as required by PIPA. If we are unable to provide access or make a correction, we will explain why, and you may request a review by the Office of the Information and Privacy Commissioner for British Columbia.
